Description The Admin Assistants help the teams to keep up with the rapid pace of the market and the company. As an Admin Assistant, you'll be based at the European Headquarters and you will support our leadership team by performing a wide range of administrative tasks, including but not limited to: • Outlook calendar management for Sr. leadership; • Provide support, expenses and travel arrangements to the leadership team members; • Arrange and coordinate team meetings, venues, vendor management, room setup, prepare materials and arrange necessary audio/visual equipment. Ensure smooth execution of such meetings; • Attend meetings, take notes, track, and share decisions and actions that emerge; • Assist with meeting preparations; • Understand the applicable cost centers for expense reporting, invoice coding and travel; • Lead the bi-weekly meetings, organize events, and contribute to team building and bonding; • Maintain team organizational charts and team email distribution lists; • Prepare purchase orders and maintains office supplies; • Be point of contact for all day to day office matters, coordinate department or equipment upkeep/moves. Required profile: Qualifications • High School diploma or college degree and experience as an Admin Assistant; • Fluency in English, other languages are a plus; • Excellent oral communication skills and strong interpersonal skills; • High degree of professionalism as position interacts with upper level management; • Team player with strong social skills; • Ability to manage multiple tasks at one time and prioritize and carry out responsibilities independently in a fast-paced work environment; • Ability to work with ambiguity and be resourceful enough to find solutions on your own; • Ability to maintain confidentiality of sensitive information and use discretion in dissemination of information; • Strong computer skills are required: Microsoft Office (Word, Outlook, Excel, PowerPoint, SharePoint and Visio); • Experience with SRM and SAP systems preferred.
